The Postdigital Learner Agency platform (“the Platform”) is operated by the University of British Columbia for the purpose of managing academic book contributions. This privacy policy explains how we collect, use, and protect your personal information.
2. Information We Collect
When you create an account and use the Platform, we collect:
- Account information: email address, password (encrypted), first and last name
- Profile information: academic affiliation, department, country, biography, ORCID iD, website URL, profile photo, pronouns, social/academic links
- Submission data: chapter manuscripts, abstracts, keywords, co-author details, declarations
- Usage data: login timestamps, submission history, notification preferences
- Communications: messages sent through the platform's internal messaging system
3. How We Use Your Information
Your information is used to:
- Manage your account and authenticate your identity
- Facilitate the chapter submission and editorial review process
- Communicate with you about your submissions, deadlines, and platform updates
- Display contributor information on the public contributors page (subject to your visibility settings)
- Generate aggregated, anonymized analytics for editorial management
4. Data Storage and Security
Your data is stored securely using Supabase (hosted on AWS infrastructure) with encryption in transit (TLS) and at rest. Manuscript files are stored in secured cloud storage with access controls. We implement row-level security policies to ensure users can only access data appropriate to their role.
5. Data Sharing
We do not sell or share your personal information with third parties for marketing purposes. Your data may be shared with:
- Editors and series editors: Who need access to submissions for editorial review
- Co-authors: Names and affiliations listed on shared chapter submissions
- Publisher (Springer Nature): Submission data necessary for publication
- Service providers: Infrastructure providers (Supabase, Vercel) who process data on our behalf
6. Your Rights
You have the right to:
- Access your personal data through your profile and dashboard
- Correct inaccurate information via your profile settings
- Delete your account and associated data via account settings
- Control visibility of your profile information via privacy settings
- Withdraw from email communications via unsubscribe links
7. Cookies
The Platform uses essential cookies for authentication and session management. We do not use tracking cookies or third-party analytics cookies. A maintenance mode cookie may be set temporarily for operational purposes.
8. Data Retention
Your account data is retained for the duration of the book project and publication process. You may request account deletion at any time through your account settings. Submitted manuscripts may be retained as part of the published record.
